Answers to some of the most common questions contractors and trades business owners have.

Do contractors really need a bookkeeper?

Not every contractor needs the same level of support. But as revenue, employees, subcontractors, and transactions increase, bookkeeping becomes more time-consuming and complicated. The better question isn't always "Do I need a bookkeeper?" It's: "Is doing my own bookkeeping still the best use of my time?"

What does a bookkeeper actually do for a contractor?

I keep your financial records organized, accurate, and up to date: recording and categorizing transactions, reconciling accounts, managing accounts receivable and payable, tracking job-related costs, and preparing financial reports that actually tell you something.

Is my bank balance the same as my profit?

No. Your bank balance is how much cash you have right now. Profit is revenue minus expenses. You can have a healthy bank balance and still owe payroll, GST, or vendor bills, and you can be profitable on paper while waiting on unpaid invoices. You need to look at both.

How do I know if my jobs are actually profitable?

You compare the revenue a job generated against the direct costs of completing it, materials, labour, subs, and equipment. The real value comes from comparing your estimated costs to actual costs. If you consistently underestimate one category, job costing is what surfaces that pattern.

How often should my books be updated?

Ideally throughout the month, not left until year-end. Bank and credit card accounts should generally be reconciled monthly. Waiting until tax time to catch up makes it much harder to catch a problem while there's still time to do something about it.
